QuickBooks Online (QBO) Update: February 26 2015

Delete Custom Form Styles
Now you can delete unwanted custom for styles. It is for various customized template for sales form.
From the home page screen > Company Gear (upper right corner) > Settings > Custom Form Styles
To delete, go to Action column, select “Delete” from drop-down arrow (next to edit).

Add Customized Reports to Management Reports
You can now select/add customized (in addition to built-in) reports to Management Reports now.
From the home page screen > Blue navigation bar on the left > Reports > Management Reports
To select/add new customized reports > Action column > select “Edit” from drop-down arrow (next to view) > select “Report” (after preliminary pages) > select “Add new report” link > go to “Select a report” under New report > select customized report from the list you want to add to Management Reports > Save

Bank Feed Manage Rules by Transaction Type
Now you can select transaction type when creating new manage rules. If you have transfer between to bank accounts (say from checking to savings), create new transfer transaction type rule.
From the home page screen > Transactions > Banking > Go to upper right corner, select drop-down arrow between file upload and new account > select Manage rules > New rule > create new rule name with transaction type > Save

Updated Chart of Accounts Numbering Scheme
To enable and show Chart of accounts number settings, from the home page screen > go to Company Gear (upper right corner) > Settings > Company Settings > Advanced > Chart of accounts > Select both Enable account numbers and Use account numbers > Save.
Advantage doing this: it is searchable by account number.

Now on the Chart of Accounts page (From the home page screen > blue navigation bar on the left > Transactions > Chart of Accounts), you can show/hide the Number column by clicking the small Gear settings (far middle right, next to pencil and print icon). You can also do batch edit to assign account numbers from here. Just click pencil icon (next to print and small gear icon). Do not forget to save. Save (blue button) is located at right corner above bank balance column.

View Customer Statements directly from Customer page
From the home page screen > blue navigation bar on the left > Customers > Select Customer from the list > select filter type by Statements > Apply

Products and Services list sorting by column
Name column sort, you will see sub-items in outline view. If you sort by other columns, sub-items will appear in flat view.

Reorder Bank Feed Manage Rules
Because manage rules are applied in numerical order, and you can apply only one rule per transaction, reordering lets you easily control which rules to apply. Drag in the left most column to reorder. From the home page screen > blue navigation bar on the left > Transactions > Banking > Go to upper right corner, select drop-down arrow between file upload and new account > Manage rules
Here’s an example:
Rule 1: Categorize all transactions under $499.99 as Office Supplies Expense.
Rule 2: Categorize all Staples (example) transactions as Fixed Assets Account.
In the case of a $400 Staples transaction, only Rule 1 is applied.

Print Expense List by Vendor Payee
Now, you can sort Vendor expense by Payee column and print it in that order.
From the home page screen > blue navigation bar on the left > Transactions > Expenses > Filter by Payee > Apply > Print List (print icon)

Is it possible in the new QB Online to finally change the column width on invoices?

Yes, it’s available now.

You can finally re-size columns on Invoices.

From the home page screen

  • Select Create (+) sign (upper-middle)
  • Select Invoice under Customers heading
  • Select “Customize” at the bottom middle
  • Select “Columns”
  • Select + or – to resize width of the Invoice column
  • Save

Which lists have which features in newly improved QuickBooks Online (QBO)?

This table will show which lists have which features all in one page. These are much improved added features in last two months.

Now, create forms should also have similar features fast. Not able to adjust account or product/service column size on various create forms seem to be a big problem right now.

QuickBooks Online Improvements Updated on Aug 25 2014

They have announced few improvements to QuickBooks Online on August 25, 2014. Some improvements are definitely time saver. Here are some of the improvements worth mentioning here!

#1 New keyboard shortcut. Press the Esc key on your keyboard to close transaction forms (invoice, expense, etc.) and the screen will come back to where you started.

For example, let us say you are on Customer’s Center screen, and clicked invoice form and you pressed Esc key, invoice form screen will close and screen will come back to Customer’s Center screen again. Time save for sure.

#2 Show Attachments (paper click icon) column on Expense Transaction list. This shows the number of attachments per expense. Click a number to view thumbnails, and then click a thumbnail to open or download the attachment. From blue navigation bar on the left > Transactions > Expenses > Table Gear (middle right > Attachments. This is helpful improvement to ensure all the entered expenses have attached receipts. Great way to establish internal accounting control!

 

#3 Copy bank description to memo. Automatically copy the bank’s transaction description to the Memo field, making it visible on more reports, like Transactions Report, General Ledger. From blue navigation bar on the left > Transactions > Banking > Table Gear > Copy Description. You don’t have to copy it yourself each time. If you need to edit description provided by bank, you can still do so before adding to QuickBooks. Great information to have for the General Ledger report!

 

#4 Enable online payment on recurring invoices. Company Gear > Recurring Transactions > New > Invoice > Online payment by credit card. Or just edit exiting template. Big time saver if you send out recurring invoices for services and get automatically paid online by credit card!

 

#5 The Date filter now includes a choice for All dates. From the blue navigation bar on the left > Transactions > Sales > Filter > Date and Transactions > Expenses > Filter > Date. Fast search if you need data just of one week or one week!

 

#6 You can now batch print more than 50 invoices at a time. It is sorted by invoice number. If you need invoice printing sorted by customer, it cannot be done. Need choice!

What are the new improvements in QuickBooks Online just announced in May, 2014?

These are the new improvements in QuickBooks Online posted on 5/23/2014.

      Smart one is able to hide financials from the home page if necessary.

      Not so smart one is to move “Print Checks” feature to somewhere under Transactions > Expenses.
